Uploading Music and Voice Prompts

Intro This document takes you through how to upload the music you have chosen to use, or to upload a voice prompt that you may have recorded on an external device. To use Music on Hold & Voice prompts, you need to first add this to your subscription. Please read our Voice Prompts doc if you need to do this. Please note, we have the following storage limits in place:

Voice Prompts

Intro Voice Prompts are used to store recordings for auto attendants. This feature also has the ability to store files used for Music on Hold. After adding the subscription, you can edit the subscription which will allow you to upload files into the Voice Prompt/Music on Hold storage space. When set to only Voice Prompts, then these files will be made available to rule chunks which allow them to be played as part auto attendants.

Recording a new Voice Prompt

Intro This guide takes you through how to record a voice recording from a babblevoice phone. You can also record a prompt on an external device i.e. your mobile and upload it to babblevoice. Please read our guide Uploading Music and Voice Prompts to babblevoice. How to record your own voice prompt: Log onto your console at www.babblevoice.com Click on the section marked ‘Stuff.’ Select Voice Prompts from the list, so that it is highlighted green and select Edit at the top of the screen.

Music on Hold

We provide a selection of different music on hold collections for you. All of the music we have preloaded onto babblevoice is either royalty free or provided with kind permission from the copyright holder so you don’t have to worry about getting permission. Classical Guitar This is the original music on hold we provided. These files are part of the Freeswitch open source project and are provided under the MPL license.

Basic Surgery Rules

Intro Rules are at the centre of how babblevoice handles your phone calls. They can be used for all sorts of things and become more useful when they are layered to form auto attendants. Below is a set of basic rules used most frequently by surgeries. These rules cover opening and closing times, call menu options and emergency planning. This is how we use the rules to do a bank holiday check and divert the call accordingly:

Intro To access your console, go to www.babblevoice.com and click on the sign in with google button or on the sign-in button in the top right-hand corner, then choose sign in to The Console. On your console page, the left-hand side shows which domain(s) you have access to - the domain highlighted green is the one you are currently viewing the console for. The babblevoice console is centred around 6 sections which are used for controlling the various functions.

Setting Up Your Voicemail

Setting Up Your Voicemail. When you create a new device on babblevoice, it automatically comes with a voicemail box. Depending on what works for you, you can create voicemail boxes for each individual device as required and/or create a new device without a physical phone linking to it, to set up a company wide voicemail. There are a couple of things that you need to do to setup your voicemail. Firstly, make a rule that will send the appropriate calls to the voicemail and then secondly, record your own greeting.

Users

Intro This document covers the section titled Users on your domain. The document is aimed at domain owners and those users that have the appropriate permissions set. This section shows you a list of people/email addresses that have access to your domain. It allows you to add and remove users, and also change their permissions. How to add a New User… To be able to log into babblevoice, the new user will need a gmail account which can be set up here.

Google Calendar

Intro For more complex time of day routing (or you would just like to use Google Calendar) you can check the state of any (which is shared) Google Calendar and make a decision what to do with a call. Typically, it might be used for checking the opening and closing times of your office which in turn will either allow calls through or send them to voicemail. To set this up - it is easy - as long as you know where to look for all of this little settings required.

Rule Flow

Intro At the heart of babblevoice, rules are at the core of how phone calls are handled. They can be used for all sorts of things, but they become more useful when they are layered to form auto attendants. When they become layered, the normal rules table can become a little more confusing to follow from one to the next what will happen. To get a more visual view of how a call maybe handled the Flow viewer can be used.

Call Queues

Queues Intro There are 2 ways to ring a group of phones from a babblevoice call rule, first by call a group, the second by queueing the call. When you call a group, that is what happens immediately. All the phones in the group will start ringing and if a number of other calls come in at the same time the phones themselves will receive the calls and alert the user to those calls.

Call Cost Calculator

Call Cost Calculator The call cost calculator is provided to enable you to check the costs of calls to different destinations on the current rates. The call cost calculator can be found on your console in the blue menu bar: Click on the Call Cost Calculator button to open the following window: Decide if your call will be peak* or off-peak* and then input the phone number as you would dial it (i.

Call Quality Reporting

Intro It is imperative that the quality of a phone call is not compromised simply to use new technology - such as babblevoice. Ok, it was a fair compromise to trade in some quality for the mobile phone revolution, but for an office phone on the desk, they pick up the handset and expect to make a call no questions asked. When merging Internet with real time traffic - such as voice for a phone call, this is no easy task.

Call Recording

Intro This page describes in more detail the call recording feature available in babblevoice. From the main babblevoice console, call recording can be enabled for all calls in a domain. The amount of space required is selected whilst enabling it. We estimate (which varied) that 16 hours of recording time can be achieved with each GB purchased. When the space is filled up, new space is created by removing the oldest call recording first.

Call Rules

Intro Call rules are the backbone of babblevoice. They appear very simple, but used in different ways can be as complex or as simple as you like. Export Call Records

Intro You can get a list (Up to 1000 calls long) of calls that have been made to and from the system. Using the calendar, select the date and time for the first record you want to export, and click the tick. Call Records will be exported to a CSV file, and downloaded to your PC. Don’t forget to look at our Netvibes gadgets for off the shelf reporting - hopefully saving you time.

Transfer money into another domain

Intro Available from the money section. Moving money from your account to a customers account needn’t be difficult! Just select the domain you want to transfer to, set how much you want to transfer, then make the move!

View Invoices

Invoices Your invoices are available to view from your console - go to www.babblevoice.com and sign in to The Console. You then need to click on Statement, which is found in the blue menu bar: This then allows you to access the year that you would like to view and each transaction for that year. Each monthly invoice is available by clicking on the date you would like to view and provides the detail from that particular month.
